Solara Love Films · PRIVACY POLICY

Last updated 28 October 2026

Our films are made from the most personal parts of people's lives. We take looking after that information as seriously as the films themselves. This policy explains what we collect, why, and what you can ask of us.

1. Who we are

Solara Love Films is a business name of Lumina Productions Pty Ltd (ABN 78 674 306 060), Suite 5, 683 Pittwater Road, Dee Why NSW 2099. "We", "us" and "Solara" in this policy mean Lumina Productions Pty Ltd trading as Solara Love Films.

2. What we collect

  • When you enquire: your names, email, phone number, wedding date and location, how you found us, and anything you choose to tell us about yourselves.

  • When you book: your postal address, billing details and the information we need to plan your film, such as your timeline, the key people in your day and vendor contacts.

  • While we make your film: the story material you share with us, including interviews, conversations, voice memos, letters, photographs, home video and archive footage, and the footage and audio we record at your shoots and wedding.

  • On our website: basic technical information such as your browser, device, pages visited and approximate location, collected through cookies and analytics. This doesn't identify you by name.

3. Sensitive information

Your story may include sensitive information, such as details about health, religious beliefs, family circumstances or relationships. We only collect it with your consent, only when you choose to share it, and we use it only to make your film.

We never publish sensitive material without your express written consent. Our commission agreement sets out exactly what this covers.

4. Guests, family and others in your film

Weddings are shared occasions, so our footage includes guests, family members and vendors. Before we interview anyone other than the couple, we ask for their consent.

5. How we use your information

  • To reply to your enquiry and talk with you about your film

  • To prepare your agreement, invoices and payment reminders

  • To plan, film, edit and deliver your film

  • To use footage, stills, audio and films from your commission in our portfolio, website, social media, advertising and other business purposes, as set out in your agreement

  • To send you updates you've signed up for (you can unsubscribe at any time)

  • To improve our website and services

  • To meet our legal, tax and insurance obligations

  • We don't sell your personal information, and we don't share it with anyone for their own marketing.

6. Who we share it with

We use trusted service providers to run our business. They handle your information only to provide their service to us:

  • Squarespace: our website

  • GoHighLevel: enquiries, bookings and client communication

  • Google Workspace: email and documents

  • VidFlow: private delivery of your films (stored in the United States)

  • Dropbox and our own secure storage: footage and project files

  • Xero and our payment providers: invoices and payments

  • Our accountant: for tax and bookkeeping

  • Filmmakers and editors who work with us: only when they are part of your commission, and under confidentiality

  • Keepsake makers: printers, makers and couriers who help create and deliver your keepsake, in Australia or overseas. They receive only what they need, such as your names, delivery address, and the images or words used in the piece.

We may also disclose information if the law requires it.

7. Information stored overseas

Some of these providers store or handle information outside Australia, including in the United States, and keepsake makers may be based overseas. We choose providers with strong security practices, and we take reasonable steps to make sure your information is handled in line with this policy.

8. How we keep it safe, and for how long

  • Access to your information and footage is limited to Kyle and Josh, and to anyone working on your commission. We use password-protected, access-controlled storage with backups.

  • Raw footage: kept for 60 days after your film is delivered, then permanently deleted

  • Your finished film: kept in our archive so we can replace lost copies, unless you ask us to delete it

  • Enquiries that don't go ahead: deleted within 12 months

  • Financial records: kept for at least five years, as Australian tax law requires

9. Cookies and analytics

Our website uses cookies to work properly and to help us understand how people use it, through Squarespace Analytics. You can block or delete cookies in your browser settings. Some parts of the site may not work as well without them.

10. Your choices

You can ask us to:

  • Tell you what personal information we hold about you

  • Correct anything that's wrong

  • Delete your information, where we don't need to keep it for legal reasons or to complete your commission

  • Stop sending you updates

  • Email us and we'll respond within 30 days. We'll check your identity first so we only share information with the right person.

11. Concerns and complaints

If you're worried about how we've handled your information, please tell us first at hello@solaralovefilms.com. We'll look into it and reply within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
